On behalf of FintechCrafts, a dynamic company operating in the Financial Technology sector, we are seeking an Office Manager / Personal Assistant. The successful candidate will play a key role in ensuring the smooth and efficient operation of the office while providing high-level administrative and personal support to the management team. The role will involve coordinating daily office activities, managing schedules and appointments, handling correspondence and documentation, organizing meetings and travel arrangements, and supporting the team with various administrative and organizational tasks.
About the Role
The role combines office management and executive support, with responsibility for keeping the day-to-day office operations running smoothly while providing administrative support to leadership. The position will also work closely with the Head of Administration to ensure effective communication and coordination between the Athens office in Nea Ionia and Headquarters.
Key Responsibilities
• Manage the day-to-day running of the office, including supplies, vendors, facilities, incoming calls and general enquiries.
• Provide administrative support to leadership, including calendar and meeting management, travel arrangements and follow-up on actions and deadlines.
• Handle invoices, purchase orders, receipts and office expenses, liaising with the Finance/Accounting team when needed.
• Support the onboarding of new employees by coordinating workspaces, equipment, access/badges and orientation schedules.
• Maintain accurate records and documentation, including contracts, vendor information, policies and internal files.
• Coordinate and maintain the team calendar, including PTO, sick leave and holidays.
• Organize and support internal meetings, team events, offsites and visits.
• Act as a point of contact for employees, visitors, vendors and external partners.
• Identify opportunities to improve administrative processes and make office operations more efficient.
• Support smooth communication and collaboration between the local office and Headquarters.
Requirements
• 2+ years of experience in an Executive Assistant, Office Manager, Administrative Assistant, Office Administrator or similar role.
• Strong organizational skills and attention to detail.
• Ability to manage multiple priorities, coordinate different stakeholders and follow through on tasks.
• Experience with calendar and meeting coordination and, ideally, travel arrangements.
• Comfortable handling invoices, expenses and basic accounting-related processes.
• Professional and discreet when dealing with confidential information.
• Strong written and verbal communication skills.
• Comfortable communicating with senior stakeholders, colleagues, vendors and visitors.
• Good knowledge of Google Workspace, Google Calendar, spreadsheets, Slack and WhatsApp.
• Ability to work independently and prioritize effectively in a fast-moving environment.
• Fluent in Greek and English, both written and spoken.
• Availability to work on-site in Nea Ionia, Athens.
Preferred Qualifications
• Previous experience supporting senior executives or working in an international environment.
• Exposure to HR/People Operations activities such as onboarding, PTO administration or HRIS.
• Experience with office, vendor or facilities management.
• Knowledge of an additional language such as Italian, French, German, Spanish, Arabic or Russian.
• Strong interpersonal skills and the ability to work effectively with people across different levels of seniority.
